โš  MANDATORY PREREQUISITE: Before your first shift at the Hordern, you must complete the Playbill Venues Safety Induction via Donesafe. Visit playbill.donesafe.com/users/sign_in for credentials and the link. This EMS procedure does NOT replace the Playbill induction โ€” both must be completed.
Purpose
To ensure a consistent, professional and WHS-compliant approach to EMS Event Medical team arrival, setup and integration at the Hordern Pavilion, a heritage-listed 5,500-capacity entertainment venue.

Arrival & Parking

  • Enter via the Main entry if on foot after parking in the EQ parking station or in Cook Rd.
  • No parking On-Site.
  • For load-in, use the Loading Dock entry โ€” park near Door 5, unload, then move your vehicle off-site unless authorised to park onsite.
Heritage venue: The Hordern is co-located with the Royal Hall of Industries, which is now the Sydney Swans Centre of Excellence.
2

Sign-In & Induction Verification

  • Sign in via VTEvents when the SMS is received โ€” or mark Enroute when you leave home, then change to On Site when you arrive at the Hordern.
NO INDUCTION = NO ACCESS: If your Playbill Donesafe induction is not complete or has lapsed, you may be refused entry. Complete it BEFORE arriving on site.
3

Establish the EMS Base

  • Proceed to Room 5 โ€” the EMS MGMCC.
  • Carry equipment and kits with you at all times; place personal items securely within the allocated space under the sink in the MGMCC.
  • Keep the area tidy and accessible for rapid deployment at all times.

Egress & Emergency Evacuation

Walk all egress routes before doors open. At a 5,500-cap heritage venue, emergency evacuation depends on knowing the route, not reading a sign in the dark.

  • Identify all venue exits: Main public entry (Foyer), loading dock egress, side fire exits, stage egress, backstage exits.
  • Confirm AED locations โ€” the venue maintains AEDs at the Foyer and the Security desk; verify both are accessible and the battery indicators are green.
  • EMS have a dedicated medical room (Room 5).
  • Note crowd density choke points โ€” at the Hordern, the Foyer-to-Pavilion threshold is the main constriction point at full capacity. Egress capacity is your bottleneck, not floor space.
  • Note restricted-access areas โ€” backstage, dressing rooms, mezzanine green room, technical catwalk (rigging area above the dome).
5

WHS Standards & Professional Conduct

Standard WHS expectations for a 5,500-capacity entertainment venue:

  • PPE: Closed-toe footwear at all times. Hi-vis events for response โ€” no Hi Vis backstage.
  • Manual handling: Use two-person lifts for stretcher movements and any equipment over 20kg.
  • Crowd density awareness: At full capacity (5,500), crowd surge and crush injuries are the highest-likelihood serious event. Watch the floor density during high-energy acts and signal Security early if density looks unsafe.
  • Hearing protection: SPL at live music events regularly exceeds 100 dB. Carry earplugs and use them during prolonged exposure.
  • Slips, trips, falls: Wet bar areas, cabled load-in pathways, mezzanine stairs โ€” common injury sources.
  • Sharps / waste: All sharps and clinical waste to be retained in your kit and disposed of on return to the MGMCC.
  • Documentation: Patient care records, incident reports, and handovers per EMS standard operating procedures.
  • Visibility & approachability: Remain visible to venue staff and patrons throughout the event.
FOR ANY QUESTIONS OR CLARIFICATIONS: Contact EMS Event Medical Operations on 02 8088 0734 (24/7) or Mike on 0415 100 089.
5,500-Cap Venue ยท Key WHS Risk Profile
Risk weighting differs at a 5,500-cap heritage venue compared with arena-scale (20k+) sites. Plan and resource according to the most likely high-impact scenarios for this venue.
1
Risk Priority
Crowd surge / crush at the Foyer-to-Pavilion threshold during full-cap shows. Highest-likelihood serious incident.
2
Risk Priority
Substance-related medical events โ€” common at concert/dance events. Plan for triage in a quiet space, not on the floor.
3
Risk Priority
Falls / trips โ€” wet bar areas, mezzanine stairs, cabled load-in routes. High frequency, lower severity.
4
Risk Priority
Cardiac event โ€” base rate ~1 per 10,000 patrons. AED accessibility and time-to-defib is the critical metric.
